The short answer: one automated workflow costs $450 to $600 to build and $110 to $150 a month to run. A full lead pipeline, meaning three lead sources feeding three systems with AI reply handling, costs $1,400 to $2,000 to build and $250 to $330 a month. The largest builds we quote reach $2,550 to $3,650 and $390 to $530 a month. In dirhams that is roughly AED 1,650 at the small end and AED 13,400 at the large end, with monthly running costs between AED 400 and AED 1,950.

Those are our real numbers. You do not have to fill in a form to see them, and you can price your own setup on our automation cost estimator in about a minute.

What automation actually costs, by size of build

Every quote comes down to three things: how many places your leads arrive from, how many systems the automation has to write to, and whether it has to read and understand what the lead said. Here is what that produces in practice.

Build What it connects Build cost Monthly In dirhams
Single workflow One lead source, one system, no AI $450 to $600 $110 to $150 AED 1,650 to 2,200 build
Standard pipeline Two sources, two systems, AI replies $1,150 to $1,650 $220 to $290 AED 4,200 to 6,050 build
Full pipeline Three sources, three systems, AI replies $1,400 to $2,000 $250 to $330 AED 5,150 to 7,350 build
Everything Five sources, six systems, AI, timed follow ups, 1,000 plus leads a month $2,550 to $3,650 $390 to $530 AED 9,350 to 13,400 build

A single workflow is something like a missed call that triggers a text message back, or a Bayut enquiry that lands in your CRM instead of an inbox. A full pipeline is the whole path from enquiry to booked viewing, running without anyone touching it.

Why almost nobody publishes these numbers

Search for automation pricing in this market and you will find contact forms. There are three reasons for that, and only one of them is defensible.

The defensible one is that scope genuinely varies. A quote depends on how many systems you run and how messy your data is, and a flat price on a website would be wrong for most people who read it.

The second reason is less defensible. A price on a page lets you disqualify yourself before anyone gets to talk to you, and agencies would rather have the conversation. That is a preference for their funnel, not for your time.

The third is that a lot of agencies do not have a pricing model at all. They quote by feel, based on how large the client looks. If you have ever had two agencies quote the same project at $800 and $6,000, that is what you were seeing.

We publish ranges instead of a single figure because ranges are the honest form of the answer. What we will not do is hide the range behind a call.

What you are actually paying for

Our build price is assembled from line items, not guessed. These are the same numbers the estimator uses.

Line item Cost What it covers
Base build $400 Discovery, the core workflow, error branches, retries and run logging
Each extra lead source $150 The first is included. Each additional one is a different message shape to read and check for duplicates
Each system connected $120 Authentication, field mapping, and handling what happens when that system is down
AI reply classification $400 Reading what a lead actually said, deciding what it means, and routing on it
Multi day follow up $300 Timed nudges that stop the moment a human replies

Two of those deserve explanation, because they are where people assume they are being overcharged.

Error handling is most of the base build. The happy path, where a lead arrives in the expected format and every service is online, takes an afternoon. What takes the rest of the week is what happens when Bayut sends a malformed enquiry, when your CRM times out, when the same buyer messages twice in ninety seconds, and when a message arrives at 3am and the retry has to be queued rather than dropped. An automation without that work appears to function for about a month and then quietly starts losing leads, which is worse than having no automation, because you stop checking.

The stopping is the hard part of follow up. Anyone can schedule three reminder messages. Making them stop the instant your agent replies in the thread, including when the reply comes from a phone rather than the system, is the part that stops your automation embarrassing you in front of a client.

Volume matters too, but less than people expect. We apply a multiplier from 1.0 up to 1.28 as monthly lead volume rises, because higher volume forces more queueing and retry work. It is not a fee per lead.

What the software costs you, separately from us

This is the part almost no agency will tell you, so here it is. You pay for the tools directly, and those costs are yours whether we build it or you do.

At the time of writing, n8n cloud plans start in the region of $20 to $25 a month, and self hosting it on a small server costs roughly $5 to $15 a month instead. WhatsApp is often free at the volumes a single office generates, because Meta's Cloud API includes an allowance of customer initiated conversations, and replies inside a 24 hour service window need no paid template. An AI classification step on a few hundred leads a month is usually a few dollars. Check all of these directly before you budget, because vendor pricing changes.

Realistically, expect $30 to $60 a month in tooling for a typical small build. If an agency quotes you a monthly fee and cannot break out what is tooling and what is them, that is a fair thing to push on.

What the monthly fee covers, and what it does not

Our monthly is $130 as a base, plus $30 for each extra lead source, $60 if AI classification is running, and $50 if timed follow ups are running, adjusted for volume.

It covers monitoring, so a broken workflow gets noticed by us rather than by you three weeks later. It covers fixes when a platform changes its API, which happens more often than you would like. It covers hosting and one change request a month.

It does not cover building new workflows, and it does not cover a redesign of the logic because your process changed. Those get quoted separately. An agency that says the retainer covers everything is either going to refuse work later or has priced the retainer as if it were a second build.

How to tell a fair quote from a bad one

A fair quote states what it connects, itemises the cost, gives a timeline in days, and separates tooling from labour. Ours is seven days for a first build, and we take fifty percent up front.

Be careful with an hourly rate, because it turns every question you ask into a cost and gives you no ceiling. Be careful with a quote that is much lower than everything else, because it usually means the error handling described above is not in scope, and you will find out in month two. Be careful with anything that requires you to move your existing phone number to a new platform, since for WhatsApp automation a separate enquiry number avoids that entirely and is reversible in an afternoon.

If you want a number for your own setup rather than a band from a table, the estimator draws the actual workflow as you select your sources and systems, and prices it as it draws. It asks for nothing and there is no form at the end.

FAQ

How much does it cost to automate WhatsApp lead replies?

For a single agency with one enquiry number and listings held in a sheet or CRM, expect $800 to $1,500 to build and $200 to $350 a month, which is AED 2,900 to 5,500 to build. A brokerage with several agents and routing based on which agent owns the listing runs higher, in the region of $2,000 to $3,500. The main variable is how many places enquiries arrive from, not how many messages you send.

Why do most automation agencies not publish their prices?

Partly because scope varies genuinely, and partly because a published price lets a prospect self select out before a sales conversation. The practical effect is that buyers cannot budget without booking calls with several agencies first. We publish ranges instead, and price the specifics on our estimator.

Is it cheaper to build the automation myself?

In tooling, yes, since the software is $30 to $60 a month either way. The cost is your time, and most of that time goes into the parts that are invisible when the system is working: duplicate handling, retries, queueing, and stopping automated messages the moment a human joins the conversation. If you already build in n8n, our comparison of n8n, Make and Zapier covers which platform suits which job.

What is a fair monthly fee for automation support?

For a small build, $110 to $150 a month is reasonable, rising to around $500 for a large multi source pipeline. Ask what the fee covers. Monitoring, platform breakage fixes, hosting and one change request a month is a normal scope. If a retainer is priced near the build cost, it is not a support fee.

How long does an automation build take?

Seven days for a first workflow, assuming you can give access to your systems in the first two days. Larger pipelines with several sources and routing rules take two to three weeks. Anything quoted at twenty four hours is either very small or is skipping the error handling.

Do these prices apply outside Dubai?

Yes. We build for businesses in the UAE, the United Kingdom and the United States, and the pricing model is the same in each. What changes is the messaging channel that matters locally, since WhatsApp dominates in the Gulf while SMS and email carry more weight in the United States. You can see the full range of what we build on our services page.
