Blasting cold lists. Buying a spreadsheet of "Dubai investors" and pushing a template to all of it is the fastest way to burn a new sender. Meta ramps your messaging limit in tiers as your quality history builds. New numbers start small on purpose.

The mechanic you need to understand is the 24 hour customer service window.
Outside that window, you can only send a message that uses a template Meta has already approved, and templates come in categories (utility, marketing, authentication) that are priced and policed differently. Inside the window, meaning within 24 hours of the lead's most recent message to you, you can send free-form text, images, PDFs, voice notes, whatever the conversation needs.
That shapes the whole design. Your first automated message is a template. Its only real job is to earn a reply, because a reply opens the window and unlocks everything else.
A structure that works for portal leads:
- Lead submits an enquiry on Bayut, Property Finder or Dubizzle.
- The lead reaches n8n within seconds, either from the portal's lead API, an email parser on the notification, or your CRM's webhook.
- n8n normalises the record: name, phone in E.164 format, listing reference, community, budget if provided, source portal.
- An approved utility template goes out naming the specific property they enquired about.
- If the lead replies, an AI agent answers the obvious questions (price, availability, service charge, handover date, viewing slots) using data pulled from your listing feed, then hands over to the assigned agent with a summary.
- If the lead does not reply, a second and third template fire on a schedule, then the record is marked cold and pushed back to the CRM.
The AI step is the part agencies most often get wrong. An agent that improvises numbers is worse than no agent. Ours answer only from a retrieved listing record and are instructed to hand over when the question falls outside it. On the Meta fees: since the move to per-message pricing, marketing templates cost meaningfully more than utility templates, rates differ by recipient country, and service messages inside the 24 hour window are free. What should the follow-up sequence actually say?
Short, specific, and never more than three unanswered messages. A sequence we would ship:

What does not work: "Just checking in", "Hope you are well", and messages that mention no property. Can I automate WhatsApp using my existing agency number?
Usually yes, but the number must be migrated to the WhatsApp Business Platform, and once it is on the API you can no longer use it in the regular WhatsApp or WhatsApp Business phone app. Many agencies keep the listing number on the API and give agents a separate personal line for existing clients. Plan this before migration, because moving a number back is disruptive.
Do I need message templates approved for every property?
No. You write one template with variables for name, community, unit reference and price, and the automation fills those in per lead. Meta approves the template structure, not the individual values. You typically need a handful of templates total: first response, follow-up, viewing confirmation and a reminder.
